Objective
To ensure a smooth, transparent, and well-managed exit process for employees leaving the organization while protecting company interests and ensuring proper handover and settlement.
Scope
Applicable to all employees, interns, and contractual staff.
Types of Separation
- Resignation (Voluntary): Employee leaves after serving notice period.
- Termination (Involuntary): Exit due to performance issues, misconduct, or business reasons.
- Retirement: Completion of service as per company norms.
- Mutual Separation: Both parties agree to end employment.
Notice Period
- As per employment contract (generally 15–30 days).
- Employee must complete handover and knowledge transfer.
- Company may approve early release or pay in lieu.
Exit Process
- Resignation submission
- Acceptance by management
- Handover of duties
- Exit interview with HR
- Clearance from all departments
- Final approval
Full & Final Settlement (F&F)
Includes:
- Pending salary
- Leave encashment (if applicable)
- Approved reimbursements
- Deductions (if any)
Timeline: Usually within 30–45 days after last working day.
Company Asset Return
All assets must be returned:
- Laptop, ID card, devices, documents, etc.
Failure may lead to deductions.
Confidentiality
Employee must maintain confidentiality even after exit as per NDA/company policy.
Absconding
If an employee is absent without notice for a defined period, it may be treated as abandonment of job and termination may be initiated.
Exit Documents
Issued after full clearance:
- Relieving Letter
- Experience Certificate
- F&F statement
Policy Compliance
Non-compliance may lead to delayed settlement or withholding of documents.
